Who we are

This website (polybiusgames.com) is operated by Polybius Games Ltd, a company registered in Scotland, of 31 Clarkin Avenue, East Kilbride G75 9GS ("we", "us"). We are the data controller for personal data collected through this site. Contact: enquiries@polybiusgames.com.

What we collect, and why

Information you give us. When you use our licensing enquiry form we collect your name, work email, company, product category and your message. We use this information to respond to you and to administer our relationship with you. Our lawful basis is our legitimate interest in responding to enquiries.

Technical information. Like almost every website, our hosting provider automatically records basic technical logs (such as IP address, browser type and pages requested) for security and to keep the site working. Our lawful basis is legitimate interest in running a secure service.

What we don't do

This website sets no advertising or analytics cookies and uses no tracking pixels. We do not sell or share your personal data for marketing by anyone else, and we do not use your data for automated decision-making or profiling.

Who processes your data

We use a small number of service providers to run this site: Netlify (website hosting and form handling, which may involve processing in the United States under appropriate safeguards such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses), our email providers, and Google Fonts (which serves the typefaces on this site and may receive your IP address when the page loads). We only work with providers who commit to appropriate data-protection standards.

How long we keep it

Enquiry and registration details are kept for as long as needed to deal with your enquiry or, for marketing, until you unsubscribe or we retire the list — and in any case reviewed at least every two years. Technical logs are retained by our hosting provider for short, standard periods.

Your rights

Under UK data protection law you have rights to access, correct, delete and port your data, to object to or restrict processing, and to withdraw consent at any time. To exercise any of these, email enquiries@polybiusgames.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk), though we'd welcome the chance to resolve any concern with you first.

Changes

We will update this notice as the business grows — for example when venues open and booking systems launch — and the latest version will always be at polybiusgames.com/privacy.html.
